Frequently Asked Questions

You will use Duo 2-Step Verification when logging into any Hartnell College resources that are protected with Duo Security. This list of resources will change as more resources are added. 


You will know the resource is Duo protected if, after you log in with your Hartnell Username and Password, you are presented with the Duo Prompt. At that time, you will confirm your identity using the Duo app on your secondary authentication method.

You will have the best experience using Duo Security with a smartphone/mobile phone, but if you prefer not to use your personal device, you may also request a token from ITR by completing the IT DUO Token Request form. 

If you happen to forget your phone at home and need to authenticate, call the IT Help Desk at 831-755-6789 After verifying your identity, we can provide you with a one-time use pin code.

Duo Two-Step Verification will be used by all Hartnell College Faculty, Staff and students.

During the initial enrollment process, you may register as many devices as you wish, including smartphones and tablets. If you need to register another device once you have completed the initial enrollment process, you may do so from the Duo self-service portal.

Hartnell recommends that you register at least two devices, for example both your smartphone and a tablet. In the event that you lose one device, you will still be able to access DUO protected systems using your secondary device. If you did not register a second device initially, you register a second device directly from the Duo Login screen.

The next time you receive the Duo login prompt, click the "My Settings & Devices " link in the menu on the left. Complete the Duo authentication on your second device. Then select "Devices" to manage/add a new device

Contact Hartnell IT at (831) 755-6789 immediately. Our team can disable your phone from being able to authenticate with 2-Step Verification, and can assist you with logging in with another method.

Important: If you receive a push notification from the Duo app that you did not request, it means someone is trying to log in using your account, and your  Hartnell username and password may have been compromised. Tap the Deny button in your Duo app, and contact the  Hartnell IT Team at (831) 755-6789 or Submit an IT Request in the Campus Services Portal.

No. We verify your account password with our internal systems, and never send it to Duo. Duo provides only the second factor—the “something you have”— to verify it is actually you logging in to the system.

No, Duo Security is required to access specific Hartnell systems. Two-factor authentication adds a second layer of security to our online accounts. In an effort to keep the college systems and even your personal account information secure, we are enabling DUO on select services.

When there are too many failed attempts to log in, accounts are locked. You will need to contact the IT Help Desk at 831-755-6789 for assistance unlocking your account.

If your mobile device registered on Duo does not have a data connection due to location or signal issues, there is also an option to generate a passcode on the device which does not require an internet/data connection. To use this feature, click the Use a Passcode option instead of the push option when logging into your account. Then, on your device, open the Duo app and click/tap on the key icon to the right of Hartnell. This will present you with a passcode to enter on the login page to access your account.
